Job Title: Accounts Clerk
Location: HTD Limited H/O, Blantyre
Department: Finance & Accounts
Reports to: Accounts Manager
Job Summary:
We are seeking a detail-oriented and organized Accounts Clerk to join our finance team. The successful candidate will assist in maintaining accurate financial records, processing transactions, and ensuring that accounting operations run smoothly and efficiently. The Accounts Clerk will support various accounting functions including accounts payable, accounts receivable, reconciliations, and financial reporting.
Key Responsibilities:
Accounts Payable:
- Process and verify invoices and payment requests in accordance with company policies.
Ensure timely payments to suppliers and vendors, maintaining accurate records of transactions. - Reconcile accounts payable ledger to ensure all payments are accurately recorded.
Accounts Receivable:
- Assist in the processing of incoming payments and record them accurately in the accounting system.
- Prepare and send out invoices to customers and follow up on overdue payments.
- Maintain accurate records of customer payments and outstanding balances.
Bank Reconciliation:
- Assist in reconciling bank statements with company records to ensure accuracy.
- Investigate discrepancies and resolve any issues promptly.
General Ledger Maintenance:
- Assist in posting journal entries and updating financial records.
- Ensure accurate coding of transactions for proper classification and reporting.
Financial Reporting:
- Assist in the preparation of monthly and quarterly financial reports.
- Support in preparing data for internal audits and regulatory compliance.
Filing and Record Keeping:
- Maintain accurate and organized accounting records and documentation, both physical and digital.
- Assist with document retrieval and filing as necessary.
General Administrative Support:
- Provide clerical support to the finance team, including data entry and report generation.
- Answer queries from clients, vendors, and staff related to accounts and financial transactions.
Qualifications & Skills:
Education:
- A Diploma or Degree in Accounting, Finance, or a related field is preferred.
Experience:
- At least 4-5 years of experience in an accounting or clerical role, preferably in a similar industry.
Skills and Knowledge:
- Basic understanding of accounting principles and practices.
- Proficiency in Microsoft Office Suite (Excel, Word) and accounting software (e.g., QuickBooks, Sage, Xero).
- Strong attention to detail and accuracy.
- Ability to prioritize tasks and manage time effectively.
- Strong communication and interpersonal skills.
- Ability to work both independently and as part of a team.
