Title: Administration Officer

Location: Head Office

Reporting to : Administration Department (AD) Manager

Good Neighbors International (GNI) is an international humanitarian and development organization in General Consultative Status with the United Nations Economic and Social Council (UN ECOSOC) with its headquarters in Seoul, Republic of Korea. Good Neighbors implements various community development projects within the following sectors; Health, Education, Water and Sanitation, Agriculture and Social Welfare (advocacy for children’s rights other livelihood projects and emergency response.

Job Summary

We are seeking a detail-oriented and proactive individual to join our team as an Administration Officer. In this role, the successful candidate will play a crucial role in ensuring the logistics, procurement, vehicle management, office maintenance and any other administrative tasks to ensure the efficient operation of our organization.

The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to work both independently and as part of a team.

Key Responsibilities:

1) Logistics:

  • Coordinate the scheduling and execution of logistical operations.
  • Ensure timely delivery and receipt of goods and services.
  • Maintain accurate records of all logistics activities.

2) Procurement:

  • Source and negotiate with suppliers to obtain the best terms and prices.
  • Facilitate procurement process, including purchase orders, invoices, and vendor contracts.
  • Review and analyze all vendors/suppliers, supply, and price options.
  • Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development.

3) Vehicle Management

  • Be responsible for the maintenance and utilization of the organization’s vehicle fleet.
  • Ensure compliance with all vehicle-related policies and regulations.
  • Maintain detailed records of vehicle use, maintenance, and expenses.

4) Office Maintenance

  • Manage the upkeep and maintenance of office facilities.
  • Coordinate with service providers for repairs and maintenance work.
  • Ensure a safe, clean, and functional working environment for all staff.

5) Administration:

  • Provide general administrative support to various departments as needed.
    Handle correspondence, filing, and document management.
  • Assist in organizing company events, meetings, and conferences.

Qualification/ Experience

At least a Bachelor’s Degree in Logistics and supply chain, or a related field. minimum of 3 years’ of progressive administrative experience in NGO setting, in a busy office dealing with multiple donor projects.
