Good Neighbors International-Malawi (GNI) is an international humanitarian and development organization in General Consultative Status with the United Nations Economic and Social Council (UN ECOSOC) with its headquarters in Seoul, Republic of Korea. Good Neighbors Malawi currently implements various community development projects within the following sectors, Health, Education, Water and Sanitation, Agriculture and Social Welfare ‘advocacy for children’s rights’, and other livelihood projects.

Role description
The Administration Manager, under the guidance of the Country Director, will play a pivotal role in overseeing and orchestrating administrative functions within our NGO. This position demands advanced administrative expertise, along with a proven track record in supervision. The role necessitates a combination of behavioral and conceptual skills, an aptitude for inspiring others, and a clear understanding of responsibilities. The Administrative Manager should exhibit adaptability, flexibility, creativity, and sound judgment while addressing issues and handling unforeseen situations in alignment with GNI policies and procedures.

Key duties and Responsibilities

  1. Administrative Leadership: Lead and supervise administrative staff, fostering a positive and productive work environment. Provide guidance and mentorship to the team.
  2. Operational Coordination: Coordinate and manage day-to-day administrative operations, ensuring efficiency and compliance with organizational standards.
  3. Policy Adherence: Ensure strict adherence to GNI policies and procedures, promoting a culture of compliance and ethical conduct.
  4. Resource Management: Oversee the allocation and management of resources, including budgetary control, procurement, and asset management.
  5. Human Resources: Manage HR functions, including recruitment, onboarding, performance evaluations, and staff development.
  6. Logistics: Ensure efficient logistics management for the organization’s  activities, including procurement, transportation, and inventory control.
  7. Facilities Management: Oversee the maintenance and functionality of office facilities and equipment.
  8. Team Motivation: Inspire and motivate staff to achieve their best performance, fostering a sense of purpose and commitment within the team.
  9. Problem Solving: Demonstrate exceptional problem-solving skills and the ability to handle unusual situations effectively, always prioritizing the best interests of the organization.
  10. Adaptability: Adapt to changing circumstances and proactively identify opportunities for improvement in administrative processes.

Requirements and skills

  1. Proven ability to lead and manage a team, with excellent interpersonal and communication skills.
  2. Strong understanding of NGO policies, procedures, and compliance requirements.
  3. Demonstrated adaptability in navigating a dynamic work environment.
  4. Innovative thinking to improve administrative processes and problem-solving.
  5. Sound judgment and ethical decision-making skills.
  6. In-depth understanding of office management procedures and departmental and legal policies

Qualification/ Experience

At least a Bachelor’s Degree in Business Administration, Public Administration, or a related field. Minimum of 5 years’ of progressive administrative and supervisory experience in NGO setting, in a busy office dealing with multiple donor projects.
