JOB ADVERTISEMENT – NATIONAL INTERN

Salary Band 1 – Professional 1A: Intern
Reports to: Senior Finance Manager

The incumbent works under the supervision of the Head of Finance & Administration and performs the following tasks:

A. Key Responsibilities:

  • Monitoring and recording financial transactions.
  • Verifying the accuracy of all money transactions and make sure that they strictly follow GIZ guidelines.
  • Provide regular updates to the Senior Finance Manager, the Financial Manager and the Team Leader on all finance relevant information, timely respond to queries and implement recommendations

Financial and Cash Management

  • Managing and processing bank transactions.
  • Preparing cheque payments and electronic transfer payments.
  • Managing the Bank Book based on the vouchers collected daily:
    o Reconciling the bank book and bank account daily.
    o Ensuring that all documentation is complete before payment to ensure completeness and arithmetically correctness of all documentation
    o Reporting without delay if the Bank Balance reaches a minimum level
  • Ensuring accurate liquidation of events and Local Subsidy Contracts according to approved budgets.
  • Processing settlement of applications for the reimbursement of travel expenses.
  • Filing all financial transactions (vouchers) and relevant documentation according to GIZ filing system.
  • Preparing/keeping all correspondences pertaining to finance.
  • Ensuring quality, accuracy and timely submission of monthly accounting returns to GIZ country Office.
  • Supervising and implement cost sharing agreements with other GIZ projects (e.g. on utility costs)
  • Keeping the programme Financial Manager and the Team Leader informed on all expenditure relevant tasks.
  • Supporting preparation of internal controls and audits.
  • Supporting the Senior Finance Manager in all other finance related activities.

Settlement of receivables
Support the Senior Finance Manager:

  • To follow on all outstanding project receivables
  • To liaise with CO on outstanding receivables
  • To take note of the error/correction sheets and follow up on them
  • To follow up the audit reports in general and their recommendations in particular

Inventory Management

  • Supporting inventory management by the Senior Finance Manager
  • Ensuring proper allocation of programme equipment and regular maintenance thereof.
  • Documenting and maintaining up to date schedules of fixed assets, inventory items and stationery.

General

  • Keeping up to date with latest developments in the accounting and administration fields, GIZ Rules and Regulations and service delivery.
  • Be conversant with the legal basis, mandate, programme activities and objectives of the FNSP programme.
  • Any other duties assigned by the Senior Finance Manager and the Team Leader.

B. Qualifications and Experiences:

  • Possess bachelor’s degree in accounting from a recognized University.
  • Proven track record of good professional experience.
  • Good writing and communication skills.
  • Computer literacy: excellent proficiency in all MS Office applications (Word, PowerPoint, Excel etc); in general: affinity for information technology and the digitalization of administrative processes.
  • Administrative experience in the private sector or an international aid organization is an advantage, however, it is not an imperative requirement
