OVERVIEW
POSITION: LOGISTICS CLERK (2 vacancies)
A Production Company in Lilongwe is urgently seeking the services of Logistics Clerks to work under its Logistics Department
The person will be required to perform the following GPS duties:
- Following up each trip from dispatch office up to customer place and way back to the end of the trip.
- Receiving and following up the GPS alert, stoppages, speeding, power cut off and reporting to management for necessary action
- Making daily report where every truck location is identified with a reason and reporting to management.
- Reporting for faulty devise and other matters to GPS supplier so that all matters are worked in time.
- Operating playbacks on suspicious trips done
- Receiving drivers report when other matters arises that causes the delay/stoppages and while the driver is on transit
- Preparing and following up GPS payments and any other payment issues arising
- Any other duties assigned by management
Logistics duties
- Dispatch of trucks from Sales logistics
- Preparation of new trip sheets as per the instruction of Logistics/Assistant Logistics Manager
- Monitoring and opening and closing of trip sheets for Drivers upon completion of trip from destination
- Ensuring all details of trips are recorded in the trip sheet for the trip completed
- Ensuring point to point to point mileage and destination information is recorded in trip sheets accurately
- Arranging top up fuel required (Diversion/Stores/Iron ore) as per the instruction of the Logistics Manager
- Processing payment Vouchers to be authorised by Logistics/Assistant Logistics Manger before reimbursing petty cash from Accounts Department
- Preserving all the necessary documents for vehicles (Blue book, Insurance etc.) and ensure its availability whenever needed
- Intervene all cases arise like route diversion, downtime delay or no offloading of goods and report to Assistant Logistics Manager
- Filing of completed trip sheets systematically to dates and numbers
- Work in liaise with Accounts and Purchase Departments for essential authorisation required
- Monitor and fueling trucks
- Making inspection sheets in absentia of workshop Clerk
- Sending dispatch delivery note to Sales Department in case Driver reports directly to sales Logistics site
- Processing payments for penalties.
QUALIFICATION AND EXPERIENCE
Applicants should be in possession of
- Malawi School Certificate of Education
- Certificate in Logistics & Procurement or Certificate in supply chain management
- Well conversant with Microsoft office, Word, Excel and outlook
- 2 years in similar job and ability to gather data and report upon request
