Baylor College of Medicine Children’s Foundation – Malawi (BCMCF-M) is a not-for-profit organization working in partnership with the Malawi Government in the health sector. Our Mission is to provide high-quality, high-impact, highly ethical pediatric and family-centered health care, health professional training and clinical research, focused on HIV/AIDS, tuberculosis, malaria, malnutrition and other conditions impacting the health and well-being of children and families worldwide.
The Baylor-Tingathe program developed in 2008 initially responded to suboptimal uptake of PMTCT and pediatric HIV services in Malawi and has grown over the past 14 years to support the full cascade of HIV care and treatment services. The current CORE programming seeks to support the Malawi Government in achieving epidemic control, by providing client focused care to People Living with HIV from the time of diagnosis to linkage and full engagement in care. BCMCFM’-s CORE programming is funded by USAID, and is currently operating in 6 districts in Malawi. BCMCF-M is seeking qualified candidates to fill the position of:
POSITION: Procurement Officer
CONTRACT DURATION: 1 year (renewable

Position Description and Responsibilities
Reports to: Senior Administrator
Position Description:
The Procurement Officer is responsible for carrying out the functions of procurement. The Procurement Officer will work closely with the Admin Assistant to delegate tasks as necessary and ensure progress on those tasks.
Essential Duties
- Coordinate procurement
- Analyse and consolidate requisitions
- Consult with finance on budget allocation and funds availability
- Source quotations
- Submit quotations to IPC
- Write memos
- Ensure correct items are procured and distributed
- Ensure that timely payment is made for utilities (electricity, water, internet, security) in all SEZ offices
- Facilitate acquisition of hired vehicles
Coordinate branding of assets

- Ensure that all assets are branded with USAID stickers
Manage Petty Cash

- Recoup petty cash
- Handle approved petty cash requests
- Safe keeping of petty cash vouchers and cash
Manage airtime
-
- Process airtime payment
- Review airtime distribution list
- distribute airtime to all staff
Assist in organizing special meetings

- Book venue for conferences
- Prepare perdiems for participants
- Coordinate accommodation bookings for participants
- Purchase stationery and other related supplies for the conference, workshop, seminar, and training
- Book food/refreshments for the conference, workshop, seminar, and training
- Assist with planning, coordination, and execution of the event
COMPETENCIES AND EXPERIENCE REQUIRED
- Post Graduate qualification in Procurement and Supply Chain Management or a Bachelor’s Degree in Administration or any other relevant qualification
- Minimum 3years experience in a busy office preferably a Non-Governmental Organization
- Proficient in using different procurement software
- Malawi Institute of Procurement and Supply (MIPS) registered member
- Hardworking with capacity to work independently with minimum supervision
- Honest, integrity, open and transparent personality.
